Per-user pricing (most common)

Per-device pricing

For a 20–50 person Sydney business with a single office, Microsoft 365, and standard compliance requirements, you should expect to pay $110–$160 per user per month for a genuine all-inclusive managed service from an Australian provider. At that price you should get: 24/7 support, proactive monitoring, patching, endpoint security, backup, and quarterly business reviews.
Anything under $80/user almost always means offshore support, business-hours-only coverage, or significant exclusions buried in the contract.
The hidden costs to watch for
- Onboarding fees — legitimate providers typically waive or cap these
- After-hours call-out fees on top of a "24/7" contract
- Software licensing marked up 20–40% above market rate
- Project work excluded from the monthly fee (even minor changes)
- Exit fees or lock-in beyond 90-day exit clauses
How to compare quotes properly
Ask every provider for a like-for-like scope. The most important question: is cyber security (at minimum endpoint detection and Essential Eight patching) included in the base price? If not, add $30–$60/user to every quote that excludes it before comparing. A $90/user quote without security versus a $130/user quote with it is not apples-to-apples.
